Job Overview:

Responsible for supporting sales efforts and results by managing proposal development for the Hudson RPO Americas Region. In this individual contributor role, key responsibilities include content creation using PowerPoint and Word and writing proposals that accurate articulate the Company’s proposed solutions while incorporating our brand and past stories of success. Accountable to manage proposals from inception to completion by collaborating closely with sales owners, operational subject matter experts and other key stakeholders both within and outside the Company. The right individual will be an experienced proposal writer, preferably with recruitment industry experience, able to function autonomously as well as with a team, and be highly creative yet able to adhere to process and documented procedures.

Proposal Planning: Collaborate with sales owners with domestic and global Requests for Information (RFIs), Requests for Proposals (RFPs), Requests for Quotes (RFQ), and organic proposals driven by our sales and operations groups for current and potential new clients. Analyze requests to determine requirements, clarify opportunities and identify needs. Secure solution approach and guidance from sales owner. Identify subject matter experts (SMEs) and key business stakeholders needed to support response effort.

Proposal Development: Write proposals and bid writing ranging from local, simple RFI requests to large, complex national/global RFPs or RFQs. Work cross-functionally to gather information for responses not available in existing documentation. Leverage existing materials while also working to generate customized materials for proposals, using PowerPoint and Word. Coordinate client references and prepare documents, exhibits, and presentations to accompany proposal submission. Manage edit, review and approval process and maintain quality by following proposal-writing standards including readability, consistency, and tone, in addition to correct spelling, grammar and punctuation. Oversee production and delivery of responses. Management of content database.

Consultation: Recommend enhancements in scope, format and content for proposal responses. Manage restructuring and rewriting as required.

Project Management: Ensure that all contributors adhere to the proposal development process and that responses address all requirements in order to produce accurate and timely creation of proposals. Develop, communicate and orchestrate proposal assignments, schedules, deliverables and deadlines to generate proposal plan for the team. Maintain and manage proposal project plans, project schedules, and issues lists. Communicate proposal status during review meetings, address issues and escalate challenges unable to resolve at manager level.

Documentation Management: Maintain RFP and reference library; maintain contact list for ongoing Q&A; update intranet RFP information in a timely manner.

Presentation Support and Thought Leadership: Support sales owners with content needed for sales presentations. Secure advanced graphics assistance from Marketing resources. Share leading practices regarding proposal development.

Continuous Improvement and Collaboration: Contribute to increased percentage of winning proposals through continuous efforts to improve qualitative responses. Reduce cycle time by creating process efficiencies and enhancing education to sales owners regarding process. Work collaboratively with sales owners, SMEs, key stakeholders and leadership to ensure alignment with proposal development requirements.

Reporting: Create and maintain reports that document proposal status, key stakeholders involved, win/loss outcome, open issues and other relevant tracking data points required to ensure efficient and effective proposal management.

Compliance: Follow Hudson RPO policies and procedures to perform work in an organized, effective manner to in order to ensure prospects and clients perceive Hudson RPO’s proposals to be professional, well-documented and timely. 

Special Projects: Perform special projects and other related duties as assigned.

Education:   Bachelor’s Degree in Marketing or Communications


Minimum of 3 years’ experience in proposal writing or marketing communications, preferably in a B2B or consulting services environment; experience within the recruitment industry or RPO industry is preferred.

  • Success in developing compelling messages for target audiences
  • Familiarity with proposal and procurement applications, such as Ariba and other tools used by prospects/clients
  • Demonstrated writing proficiency and creativity for proposals and presentations (samples required)
  • Ability to answer questions about dynamic, ever-changing information related to proposal development
  • Project management skills, with an ability to plan, execute and deliver
  • Excellent interpersonal skills with ability to build collaborative working relationships with all levels of the organization
  • Must take initiative with a strong sense of urgency to meet aggressive timelines
  • Effective presentation skills
  • Fundamental understanding of business operations and problem resolution skills
